The Safety Administrative Assistant is detail-oriented and proactive to support our Safety Department in maintaining compliance, ensuring accurate documentation, and promoting a culture of safety across our projects. This role provides critical administrative support to the safety team with responsibilities that contribute directly to the overall effectiveness of our safety program. The ideal candidate is organized, proactive, and able to manage a variety of administrative responsibilities with professionalism and efficiency.
II. Essential Functions – The Core Responsibilities of this job.
Safety Administrative Duties
- Safety Procurement and Safety Prequalification documentation
- Schedule and coordinate employee drug screenings and maintain related documentation
- Track and maintain records of incidents, near misses, and workplace injuries
- Perform accurate data entry related to site safety visits, inspections, and audits
- Assist in monitoring and documenting safety inspection frequency and follow-up actions
- Maintain organized and up-to-date digital and physical safety records and reports
- Provide administrative support to the Safety Director and Safety Management team
- Assist with the preparation of safety reports, presentations, and internal communications
- Updating safety platforms to include new hires and onboarding
Operations & Compliance Support
- Coordinate and track pre-employment and ongoing drug screens, MVRs, and DOT compliance
- Maintain the job tracking spreadsheet
- Manage and update safety code cards and prequalification resumes
Onboarding & Safety Documentation
- Assist in safety medical records and workers compensation administrative needs
- Support onboarding processes related to safety training and orientation
- Help ensure compliance with company safety policies and OSHA regulations
- Update and maintain safety training spreadsheets
- Collect and file employee training certificate
Additional Duties
- Support internal communications and assist with additional safety projects as requested
- Organize Construction Kick Off and assist in recruiting and safety conferences
- Support any on site safety training administrative tasks
III. Job Requirements:
Qualifications:
- High school diploma or equivalent; associate degree or some college preferred
- OSHA 10 or 30 required to be obtained within 60 days of employment
- Previous administrative experience
- Strong attention to detail and organizational skills
- Proficient with Microsoft Office Suite (Excel, Word, Outlook)
- Ability to handle confidential information with discretion
- Excellent communication and time management skills
- Willingness to learn and grow within the safety and construction field
Working Conditions:
- This position is based in an office environment with some site visits on occasion
- Requires the ability to sit, stand, walk, and occasionally lift up to 25 pounds.
- Must be comfortable working in diverse environments.
- Travel is required approximately 35% of the time, including to project sites, satellite offices, or for company-wide training and development initiatives.
- Occasional extended hours or adjusted work schedules may be necessary to support events or compliance deadlines.
